How To Auto Archive Emails In Microsoft Outlook 2010

Microsoft Outlook is generally available for the users as a part of Microsoft Office suite along with other applications like Microsoft Excel, Microsoft Word, and Microsoft PowerPoint. In fact, Outlook provides multiples uses for the users. By using it, you will be able to organize meetings, shared mailboxes, calendars and folders if you use Outlook in combination with Microsoft SharePoint Server and Microsoft Exchange Server.

Apart from personal information management, it also allows you to send and receive email messages, thus making communications a lot better and easier. When a user receives hundreds of email messages each day, the inbox of the Outlook application will grow in size considerably. When your Outlook inbox becomes larger, it will start showing some problems and it will not work properly. However, you do not need to worry or panic since there are some easy instructions available to fix this.

In fact, Microsoft has introduced a feature called Auto Archive, which helps the Outlook users to move or delete the email messages in the Outlook inbox. As a result, your Inbox will be smaller in size and will work without any problems. It is easy to configure the Auto Archive email setting.

Instructions

  • Open the Microsoft Outlook 2010 application in your system and click the button called Office. Next, from the left side bar, you need to click the option called Advanced. Now, under the category called AutoArchive seen at the right side of the main window, you will see a button called AutoArchive Settings- click it.
  • Check the Run AutoArchive Every option to enable the AutoArchive feature of your Outlook application.
  • If you want to move the old items, you need to check the option called Move Old Items. After that, you need to choose the location where you need to move those old emails.
  • If you wish to remove the old Items permanently, you need to check the option labeled Permanently delete old items.
  • Now, you need to click the button called Apply these settings to all folders now to apply the Outlook setting that you have made. However, if you need to AutoArchive any other folder, you need to right click that specific folder and from the available options, you need to click Properties. Finally move to the Auto Archive tab for making the necessary settings.
